Web Site Management Group
The ongoing, long term effectiveness and stability of the site requires the creation of a knowledgeable/ experienced management group charged with the responsibility to:

  • Provide regular oversight, and review,
  • Make recommendations on web site development, sound management practices and policies

The Web Site Management Group shall be accountable to the Vestry of St. John’s and receive any needed interim guidance from the Wardens and Rector.

Group Membership & Responsibilities:
The Web Site Management Group should consist of the following individuals:

  • Web Management Group Chair
  • Web Sextons (2)
  • Rotating Page Sextons (3)
  • Web Site Development Resource Expert
  • Web Mail Manager
  • Vestry Liaison

 

The time demands and responsibilities of the Management Group Chair and Web Sexton(s) will normally preclude these individuals from serving as vestry members while serving on the Management Group. The recommended term on the Web Site Management Group is three years to match the current term of service of vestry members.

Management Group Responsibilities:
The management group shall meet at least quarterly. The time span focus of the group will be a rolling three year focus. As such, any planning, recommendations, and budgets should reflect this three year focus.

Personnel resource planning and staffing should limit the time demands on individuals to four (4) hours per week. Demands that exceed this guideline shall be immediately resolved by the Management Group.

Overall Management Group Responsibilities:
  • Periodically review, and update the “Web Site Development, Policies, Maintenance & Operation Manual”

  • Assist the Vestry to periodically survey, and evaluate the needs of site users.
    Make appropriate recommendations and implementation strategies.

  • Manage E-mail and secure Web mail systems that support the web site, including the assignment of user names and passwords.

  • Annually by 1 September, submit to the Wardens a three year budget of the capital and operating needs of the web site.

  • Annually by 7 January, submit to the Wardens an annual web site operating report.

Specific Web Sexton(s) Responsibilities:

  • Site Security & Access
  • Standardization & appearance of web site pages
  • Create, maintain and publish on line style guides
  • Final editorial review and formatting of uploaded pages and updates
  • Verification of online pages and links
  • Make recommendations to the Web Management Group for changes and improvements to the site.

Specific Page Content Sexton(s) Responsibilities:

  • Assist individuals with the creation and proper formatting of material that will be placed on the web site.
  • Insure that material being submitted for uploading has received the necessary reviews and approvals.
  • Make recommendations to the Web Management Group for changes and improvements to the site.

Specific Web Mail Manager Responsibilities:

  • Maintain St. John's web site e-mail and web mail system.
  • Issue appropriate user names and passwords. Maintain current written records of all user names and passwords that have been issued.
  • Develop guidelines and policies for appropriate use of the e-mail and web mail
  • Authorize, establish, and supervise the proper use of special purpose one time chat lists.
  • Immediately report to the Web Management Group any spamming or hacking incidents.

Specific Web Management Group Chair Responsibilities:

  • Provide active leadership and assistance to Web Site Management Group
  • Chair quarterly group meetings.
  • Provide leadership and guidance to Page and Content Sextons
